Reporting directly to the Executive Vice President (EVP), Gas, the Executive Assistant enhances the effectiveness of the EVP by providing professional, efficient and effective administrative and time management support. This is an exciting and demanding position for an enthusiastic, detail-oriented, flexible, creative and organized professional with excellent computer and customer service skills. The successful incumbent has an ongoing focus on continuous improvement and demonstrated ability to use initiative, exercise good judgment, prioritize effectively and work with sensitive, critical and confidential matters.

The right candidate faces each day with optimism.  They have an exceptional work ethic and a strong sense of urgency and attention to detail.  They are flexible, adaptable to change, a proactive multi-tasker, and are adept at forging relationships and interacting positively with all levels of the organization.  Commitment, self-reliance and an ability to work with limited supervision while still exercising good judgment are imperative.  This candidate takes initiative and always goes the extra mile, supporting the team by tackling projects and needed tasks no matter how small, with a positive attitude and image at all times. 

Responsibilities of the position include, but are not limited to the following:

  • Ensure well-coordinated, efficient and effective day-to-day operation of the office of the Executive Vice President;

  • Plan and work proactively to anticipate and address the needs of the EVP related to daily and future activities;

  • Provide secretarial and related support functions for a variety of meetings. Undertake research projects to provide information and support documentation required for specific meetings and other AltaGas initiatives;

  • Manage the EVP’s appointment schedule; plan and schedule meetings, conferences, conference calls; manage itineraries and make travel and hotel arrangements, reserve meeting rooms, coordinate meeting requirements, welcome and greet guests and clients, in person or on the telephone;

  • Understand the demands on the time of the EVP, and where appropriate, act as the "gatekeeper", using judgment to organize calendars to ensure that time is allocated to the most appropriate scheduled events or meetings;

  • Conserve the EVP’s time by reading and routing correspondence and responding to or directing inquiries; screening calls and e-mail and voicemail messages and directing them appropriately; researching activities and events; drafting correspondence and documents, initiating communications and regularly screening journals, publications, regulations and policies with implications to core business practices;

  • Prepare and submit expense reports and cheque requisitions in a timely manner and in accordance with relevant AltaGas policies;

  • Word, Excel and PowerPoint support for various projects including reports to the Board of Directors, Executive Group, etc.;

  • Exercise excellent professional judgment and maintain confidentiality at all times;

  • Other projects as assigned.

Qualifications:

  • Degree/Diploma in Office Administrative or similar post-secondary education;

  • A minimum of ten to fifteen years of related administrative support experience.Ideally at an Executive/ Board level;

  • Experience in the energy industry is considered an asset;

  • Advanced computer skills, including Windows and Microsoft Office Suite (Outlook, Word, Excel, Power Point, and Sharepoint);

  • JDE experience is considered an asset;

  • Professional manner and value confidentiality in all dealings;

  • Confident, detail orientated, and enthusiastic team player;

  • Superior interpersonal, communication, organizational and analytical skills;

  • Flexible and able to manage multiple priorities, taking on new responsibilities as required.
