Ottawa Community Housing Corporation (“OCH”) is committed to reducing the use of paper where possible, and accordingly has moved to an electronic application process for candidates. This notice is intended to provide you with information about the use of electronic documents and signatures in the application process.

Consent: By entering your name and clicking “submit”, you consent to submit your employment application and all related forms, documents and information electronically, and to receive communications related to the recruiting, application, and onboarding process electronically. Your electronic agreement to this consent, and to any other agreements, consents or undertakings which are required throughout this application process will be valid and binding as though each were signed by you in paper form.

Right to Withdraw Your Consent: You may withdraw your consent to receive information and submit your application electronically. If you wish to withdraw your consent before your application has been considered, please contact hr@och.ca . Please be aware that if you withdraw your consent, your application will not be considered further.

Technical Requirements: You will need access to a printer and/or the ability to download information in order to keep copies of the information you receive and any electronic agreements which you enter into for your records.

Ottawa Community Housing Corporation (“OCH”) is subject to the Municipal Freedom of Information and Protection of Privacy Act (“MFIPPA”). This statement provides notice to you of important details regarding the information which OCH collects during this application process, and of the uses to which it may be put and the reasons for which it may be disclosed. Please review the statement below carefully and acknowledge your agreement to its terms where indicated. If you have any questions, or if you would like to review a copy of OCH’s privacy policy, please contact hr@och.ca  before agreeing to this acknowledgement.

Please be advised that this acknowledgement does not give rise to an employment relationship with OCH, nor does it constitute a guarantee of employment.

Consent to Collection, Use and Disclosure of Personal Information

OCH may collect certain personal information from you in the course of this application process, including but not limited to:

  • Contact information
  • Information regarding your educational and employment history
  • Information regarding your qualifications, and any professional certifications, degrees or diplomas
  • Information regarding references
  • The results of a criminal records check
  • Other biographical information as provided in materials you submit

In the course of the application process, OCH may also obtain personal information about you from references who you identify in materials provided in your application.

OCH will use this information for the purpose of assessing your suitability for employment, and if you are subsequently hired, will retain, use and disclose this information as reasonably necessary for the purpose of managing your employment relationship. OCH may also use and disclose this information for other purposes as required or allowed by law, including as set out in the MFIPPA.

If OCH ultimately decides to make you a conditional offer of employment and you accept, you will be asked to provide additional information in the course of the onboarding process, including:

  • Contact information
  • Banking information
  • Tax information
  • Your social insurance number

This information will be used by OCH for the purposes of establishing and managing the employment relationship, and for other purposes required or allowed by law.

 

Agreement to Reference, Background and Criminal Record Checks

If OCH ultimately decides to make you an offer of employment, this offer will be conditional on:

  • Providing evidence to establish your identity and right to work in Canada;
  • A criminal records check; and
  • A reference check.

By electronically signing below, you acknowledge this and agree that any offer of employment will be conditional upon your consent to and satisfactory completion of the above, and you further agree to provide OCH with any necessary consents/releases to facilitate obtaining same. You agree that if you withdraw your consent or fail to provide evidence requested by OCH in relation to the above, any offer of employment will become null and void.

Depending on the position for which you are applying, the offer may also be conditional on:

  • A check with past educational institutions to confirm your education history;
  • Additional reference
  • A criminal records check
  • Security License and/or
  • Verification of a satisfactory driver’s abstract.

You acknowledge and understand that if OCH requires these additional background checks, any offer which is made will be conditional on your agreement to and satisfactory completion of same. You understand that if these additional background checks are required, your refusal to consent to same or unsatisfactory results in response to same will result in any offer of employment becoming null and void.

 

By signing electronically, I agree to the above. I further hereby state that the materials which I have provided in support of my application are accurate in all respects. I understand and agree that any misrepresentation will lead to rejection of my application, and/or withdrawal of any offer made. If any misrepresentation is discovered after an offer of employment is made and accepted, I understand and agree that it may constitute grounds for termination of my employment for just cause.
