Reporting to the Project Manager, the Project Coordinator will be responsible for managing Requests for Information (RFI’s) and Requests for Approvals (IFA’s), as well as assisting the on-site Project Coordinator with daily administrative tasks such as expediting, scheduling, request for procurement, and document control.


This position is based in Nairn, ON on a client site.

Construction Management

  • Work closely with the on-site Project Coordinator and Site Superintendent to minimize their need to do task work:

  • Change order pricing and documentation;
  • Obtaining and processing of all submittals;
  • Document management and control; and
  • Drafting minutes of meetings, contracts and correspondence.
  • Ensure accurate and timely project administration including: tracking requests for information, processing of shop drawings, document control, and communication to all stakeholders.
  • Work closely with project team members and other stakeholders to identify, develop, implement, and support cost-effective project delivery.
  • Maintain effective communications to ensure all stakeholders are informed and up-to-date.


Project Administration

  • Process and track contract and subcontract documents, communications, requests for information, shop drawings, operations and maintenance manuals and other project related documents.

  • File and archive project documents.

  • Expedite or coordinate information submitted by owner, consultants, trades and suppliers.

  • Ensure all project documents including submittals, requests for information, site instructions, correspondence, minutes, etc. are complete, accurate and controlled.

  • Ensure all submittals are processed in a timely manner.

  • Ensure task work by Project Manager, Estimator and Superintendent is minimized.


Stuart Olson Corporate

  • Participate in corporate initiatives.




  • Undergraduate degree in engineering or construction management an asset

  • Eligible for, or have attained, E.I.T., P. Eng., CET, or PQS designations an asset

  • 1-2 years’ experience “hands-on” experience in the capacity of project coordinator

  • Excellent computers skills with a working knowledge of the Microsoft Office Suite of products, in addition to a working knowledge of Adobe Pro for the purpose of redlining drawings via PDF

  • Ability to read, understand and interpret legal terminology found in such documents as contracts, government regulations and technical codes or standards.

  • Ability to read and understand Blue Prints

  • Ability to forge, grow and maintain positive relationships

  • Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment

  • Ability to work within tight deadlines and prioritization of work to achieve them

  • Strong analytical, critical thinking, troubleshooting, problem-solving skills, and a high degree of accuracy and attention to detail

  • Highly developed interpersonal, communication, and organizational skills

  • Demonstrates a sense of urgency and strong commitment to achieving goals; ability to work in challenging, fast paced environment

  • Ability to work collaboratively with a positive attitude

  • Superior written and verbal communication skills
